Inviting Members
An invitation grants a user access to your organization with a specific role and set of sites. Knowing their email is sufficient: advance registration in Pulse is not required — the user account can be created upon accepting the invitation.
Who Can Invite Members v1.0.0-alpha4
The Owner and Administrators in a Business organization. An Administrator can only invite members with roles below their own — Operations Manager, Technician, Viewer / Customer; only the Owner can invite an Administrator. Other roles do not see the invitation action. In a Personal account, invitations are unavailable — upgrade to Business first (see "Personal and Business").
How to Invite a Member
- Open Organization → Members and click Add member.
- Enter the invitee's Email. The format is validated instantly.
- Select a Role. By default, Technician is selected. Below the selected role, an informative card displays a colored badge and a summary of permissions across layers: "People • Financials • Devices • View", showing where the role has full or basic access, where data is masked, and what is restricted.
- Select the Sites the member will have access to (see "Site Access" for details). For the Administrator role, this field is locked: all organization sites are automatically granted.
- Click Send Invitation. The button becomes active once a valid email is entered and at least one site is selected.
The member appears immediately in the Members list with the Pending status — until they accept the invitation.
Roles That Can Be Granted
| Role | Dialog Description | Sites |
|---|---|---|
| Administrator | Full access | All, automatically |
| Operations Manager | Lead engineer | Selected |
| Technician | On-duty personnel | Selected |
| Viewer / Customer | Observer / Client | Selected |
The Owner role cannot be granted via invitation, and the Administrator role option is visible only to the Owner. For details on role capabilities, see "Roles and Permissions".
What the Invitee Receives
An email from HashCore Pulse containing a link to the acceptance screen:
You've been invited to join Organization Name on HashCore PulseOwner Name (email) has invited you to join Organization Name on HashCore Pulse — a platform for monitoring and managing mining operations. Accept Invitation This link expires in 7 days.
The invitation link remains valid for 7 days. No passwords or sensitive login credentials are sent via email.
Accepting an Invitation
Clicking the email link opens an invitation screen with the organization card: organization icon, name, and description (if provided), along with details about who invited them — initials, name, and email. Pulse detects whether the user already has an account and presents the appropriate action:
| Scenario | Required Action | Button |
|---|---|---|
| Already signed in with this email | Confirm only | Accept & Join |
| Account exists, but not signed in | Enter password (email is pre-filled) | Accept & Sign In |
| No account exists yet | Create a password | Accept & Sign Up |
A single button click simultaneously handles authentication or account creation and binds the user to the organization. The member lands directly in the organization interface with their assigned role and sites. The account plan selection dialog is bypassed, and no separate organization is created for them — they can create their own space later if desired (see "Personal and Business").
Decline rejects the invitation with a single click, requiring no extra confirmation.
Invitation Lifecycle
| State | Meaning |
|---|---|
| Pending | Email sent, invitation not yet accepted. Closing the acceptance window midway keeps the invite in this state |
| Accepted | Member has joined the organization and is actively working |
| Declined | User clicked Decline, no access granted |
| Expired | 7 days have elapsed; link is no longer valid |
| Cancelled | Organization was downgraded to Personal — all pending invitations are revoked |
Errors and Edge Cases
| Scenario | Result |
|---|---|
| Email already in organization or already invited | "A user with this email is already a member or has an active invitation." No duplicate is created |
| Previously removed member | Can be invited again without restrictions |
| Server error during sending | Form remains open with inputs intact — simply retry |
| Link is older than 7 days | Expired link notice. Ask an admin to resend an invitation |
| Link already used | If opened by the same user, redirects into the organization. If opened by someone else, shows that the link is invalid |
| Invalid link | Error screen |
Typical Scenarios
- On-duty technician for a single farm — Technician role scoped strictly to that site. They can reboot and service miners without being able to change pools or firmware.
- Colocation client — Viewer / Customer role on their assigned facility/room. The client monitors hashrate, temperatures, and status, while device controls, IP/MAC addresses, and pool endpoints are protected.
- Third-party maintenance team — Operations Manager on serviced sites.
- Co-owner / Technical Director — Administrator role: full visibility across all sites and team administration.
Notes
- The inviter cannot see whether the email was previously registered with Pulse — the flow is identical in both cases.
- An invited user can belong to multiple organizations simultaneously (see "Working in Multiple Organizations").
Site Access
Site access restricts which organization sites a member can view. Combined with a role, it defines full permissions: the role specifies "what can be done", and site access specifies "where". This ensures a technician on one farm cannot see another, and a hosting client cannot view equipment belonging to other customers. `v1.0.0-alpha4`
Managing Members
The Members section shows who has access to the organization, their roles, and accessible sites. Here you manage access: temporarily suspend members, restore access, modify roles, or remove users from the organization.
